JOB SUMMARY:
We are looking for someone to join our team who has fantastic customer service skills including but not limited to: Building Rapport, Conflict Resolution, De-escalations, and Explaining Difficult Concepts. Someone who can effectively explain our process to consultants (Some with strong personalities) and hold their hand if needed.
Reporting to the Operations Manager and with overall day-to-day guidance, coaching and support from the Operations Specialist Team. The Operations Specialist will be responsible in ensuring efficient and effective care for the entire associate lifecycle. The incumbent will work directly with Account Managers in managing associate care not limited to processing start and end dates, onboarding consultants and managing any specific administrative contractual requirements as needed. The Operations Specialist will provide associate care for the duration of the employment contract. Duties must ensure adherence to company policies and procedures.
ESSENTIAL FUNCTIONS:
Onboarding
1. Coordinates the onboarding process for T4’s, Independent Contractors and Subcontractors including, but not limited to, Welcome Call, Welcome Email, and ordering pre-screening requirements.
2. Distributes and collects onboarding paperwork and acts as a main of contact for related questions.
3. Candidate data entry and management within the Job Diva system and various company/client systems.
4. Supports client’s contractual compliance by ensuring candidate and subcontractors submit correct and complete documentation.
5. Ensures Independent Contractors / Subcontractors meet job requirements, including, but not limited to, background, education, employment checks and insurance requirements.
6. Supports and gathers all documentation for client audits. Provide operational support during new client implementations.
7. Partners with Account Managers on any escalations to provide the best customer support for the client.
8. Participates in special projects and performs other duties as assigned.
Associate Care
* Maintains and updates consultant information in Vendorpass company systems: not limited to new hires, pay rate changes, consultant status changes and consultant termination reconciliations.
* Follow up with consultants for weekly timesheet submission and ensure that each consultant submits a billable-hours timesheet, Paid Time-Off Timesheet or Holiday Timesheet by running the appropriate Job Diva or VMS tool reports. Submit zero-hour timesheets, when necessary.
* Assists the Back Office with correcting timesheets or billing/invoice issues as requested.
* Manages Job Diva dashboard and monitor timesheets/invoices.
* Reviews Job Diva reports to ensure all timesheets have been processed and create missing timesheet spreadsheet for consultants who did not submit zero hours.
* Manages associate leave of absences and questions and concerns.
* Responds and manages all questions and concerns related to but not limited to leaves, payroll, timesheets, and employee relation matters.
Reporting
* Generates weekly reports such as the Starts and Ends Report, Headcount Stats Report, tracking active offers and starts, Key Metrics report and any other ad hoc reports as assigned.
* Generate and maintain Compliance reporting for Government.
Consultant Engagement
* Conduct Consultant Orientation by communicating all new and current Vendorpass policies and procedures prior to start of an assignment.
* Respond within 4 hours to consultant inquiries.
Secondary Functions:
* Manages virtual deal processing and administration, as required.
* Performs backup duties for the team not limited to other administrative functions as needed.
Training Requirements:
* Train on the new consultant onboarding process.

EDUCATION & EXPERIENCE:
* 2+ years’ work experience, some of which must have been in customer service and/or administrative support capacity.
* Experience in the staffing industry is considered an asset.
* Completion of Community College or equivalent preferred.
SKILLS & OTHER POSITION REQUIREMENTS:
* Experience with Job Diva or equivalent ATS system.
* Skilled in communicating effectively verbally and in writing with multiple levels of independent contractors and management.
* Ability to establish and maintain effective working relationships.
* Ability to focus on client needs with commitment to quality, customer service and service level agreements.
* Ability to work effectively as part of a team.
* Proficient with Microsoft Office products, including Word, Excel, PowerPoint and Outlook.
