Purpose

To perform administrative tasks for a variety of local and national projects aimed to educate, inform, and address the gaps in cardiovascular care, research, and support for women in Canada within the Canadian Women’s Heart Health Centre (CWHHC).

Duties and responsibilities

  • Provide administrative support for the Canadian Women’s Heart Health Centre, including supporting the Canadian Women’s Heart Health Alliance (“Alliance”) project teams to ensure deliverables are completed within expected timelines.
    • Customer service for Alliance members (e.g., email correspondence, stakeholder engagement, etc.)
    • Onboarding of new Alliance members
    • Data entry and online searches
    • Booking of meetings
    • Preparing meeting agendas and minutes
    • Assist with finance activities (e.g., tracking, invoicing, and expense claims)
    • Assist with coordination of workshops, information sessions, all-members meetings, and other special events (e.g., sending invitations, scheduling, registrations, venue booking, catering, AV coordination, etc.)
    • Website updates
  • Support other CWHHC activities as assigned by Alliance Manager, Chair, or Director

Required qualifications

  • Education: Bachelor’s degree in communications, business, or health-related discipline or equivalent work experience
  • Experience: 3 years related administrative experience
  • Knowledge, skills and abilities:
    • Excellent time management and organizational skills
    • Excellent English communication skills (writing, oral)
    • Detail-oriented
    • Ability to multitask and set priorities
    • Team player with strong interpersonal skills
    • Computer-savvy (e.g., proficient at Microsoft Office software, other online tools)
    • Basic knowledge working with e-commerce platforms and/or website builders
    • Ability to work well with diverse populations and interdisciplinary teams

Preferred qualifications

  • Bilingual (English and French)

Working environment

  • Office environment
  • Hybrid (work on site and/or remotely via videoconference)
  • 37.5 Hours per week, Monday – Friday
  • Potential for travel (within Canada)
